Primary Purpose

The Finance Office Associate supports the operations of the Finance department.  The incumbent will be accountable for ensuring the accurate and timely recording of financial transactions in accordance with policies and procedures as well as provide administrative support to each of the functional areas of the department.  The incumbent is responsible for providing front-line support to students and other visitors to the Finance office ensuring a professional and positive customer experience.

Nature and Scope

Interpersonal Skills:

The Finance Office Associate must have excellent interpersonal skills.  This position communicates internally with Finance team members as well as administrative staff and Financial Officers across the campus community. In addition, the Finance Office Associate must represent Finance in a positive and professional manner when welcoming internal and external visitors to the Finance office

Level of Responsibility:

The Finance Office Associate is responsible for processing transactions according to policy and procedure while meeting the service needs of the Finance department.

Decision-Making Authority:

The Finance Office Associate is expected to work independently and prioritize their workload in order to meet deadlines.  In addition, they are expected to identify when they need assistance and seek direction when required.

Physical and Sensory Demands:

Minimal physical demands typical of a position operating within a busy, fast-paced office environment.  Keen attention to detail is required to ensure accurate results. The individual must be able to manage concurrent assignments.  As reception duties are required, the individual must be able to multi-task and be able to deal with periodic interruptions.

Working Environment:

Minimal exposure to disagreeable working conditions typical of working in an office environment.  The university operates in a decentralized environment in terms of decision making and a centralized environment in terms of establishing standards, policies, procedures and financial systems.  Consequently, the accounting and technical skills across university units of those dealing with financial matters vary significantly.  Due to the nature and complexities of the university business activities, disagreements and contentious issues and situations may arise from time to time due to differing interpretations of policies and procedures.  There may be periods of irregular/high volumes e.g. year end.
