Primary Purpose

The Marketing Specialist promotes and communicates the benefits of hiring University of Waterloo (UWaterloo) students to employers, engages students for increased understanding of Co-operative Education and Career Action (CECA) through the student perspective and creates student marketing materials to promote CECA. The Marketing Specialist develops, writes, coordinates and produces a wide array of marketing collateral and initiatives aimed at employer recruitment, engagement, and retention and student recruitment and promotion in alignment with UWaterloo branding guidelines. 

Key Accountabilities:

1.  Develop and execute annual marketing communications plan in alignment with the strategic marketing and communications plan and priorities, and assess success with key metrics.

 

 

2.  Lead and manage direct reports (co-op students) and ensure the delivery of results in support of CECA strategic plan, goals and objectives including: 

 

3.  Assess and develop new marketing communication initiatives, source new materials, methodologies, and approaches to keep CECA materials fresh and relevant. 

 

4. Develop, write, and distribute internal communications to CECA staff and university departments

 

5.  Develop suite of business development materials

Average:  Use of basic excel functionality in spreadsheet format: data entry, use of formulas, creation of  charts etc. Expert:  The ability to create and coach others on the preparation of branded presentations utilizing the full functionality and features of PowerPoint such animation and embedded exported media files within a presentation. other

The Marketing Specialist has a commitment to continuous improvement and focuses on producing tangible results through rigorous measurement and monitoring.  With excellent organizational and administrative capabilities and time management skills, the Marketing Specialist has a high tolerance for multi-tasking and last minute changes.  The Marketing Specialist has excellent written, presentation and verbal communication skills, and brings a strong team work ethic and collaborative approach to their work.  

Level of Responsibility:

The Marketing Specialist role has specialized work with minimal supervision and has direct reports reporting to it.  The Marketing Specialist provides co-worker support to the Communications Specialist, coaching to the co-op students hired as part of the team, including training, development, and direct supervision. The Marketing Specialist demonstrates leadership across the university by demonstrating marketing best practices within the university community. This position manages co-op students and therefore has to participate in the hiring and evaluation process 2x/term.

 Problem solving The production of an event or a marketing collateral calls for time and budget management with assurance of quality. The Marketing Specialist manages the end to end production of marketing materials from project brief to successful delivery including all elements of quality. The project is escalated when quality concerns, budget issues, timing issues or relationship management issues arise.  Financial Accountability The Marketing Specialist recommends marketing initiatives and sources quotes for various marketing elements, and is responsible for the successful management of approved funds for specific planned initiatives.

Internal and External Contacts

Internal:  The Marketing Specialist interacts with co-workers across the department to gather information for communications development, and across the university to participate in, contribute to and learn about other approaches to the practice area either within the university or outside. 

External: 

The Marketing Specialist deals with and negotiates with vendors for the high quality production of materials from printing materials to the production of branded items.

Decision-Making Authority:

The Marketing Specialist makes decisions related to creating the marketing communication plan and implementing it in alignment with the marketing strategy, and developing implementing the social media strategy in alignment with marketing strategy. The Marketing Specialist makes decisions to reserve tradeshow booths and hotel space, regarding brand presentations and external presentation elements.  The Marketing Specialist also recommends promotional product purchases, applies the branding guidelines to various media, and manages a number of co-op students and the Marketing Assistant.

Physical and Sensory Demands:

This role requires exertion of physical or sensory effort resulting in moderate fatigue, strain or risk of injury.

Working Environment:

This role involves minimal psychological risk resulting from unavoidable exposure to hazardous, disagreeable or uncomfortable environmental conditions.  This role involves occasional travel for marketing and job development events, occasional unusual hours or schedules due to event-driven deadlines, lack of control over work pace due to externally-driven deadlines, occasional irregular and/or high volumes and multiple and/or tight deadlines beyond one's control due to marketing or business development project deadlines, and constant interruptions due to phone and email..
