Primary Purpose

Waterloo Unlimited is a high school enrichment and outreach program that is housed within the Department of Knowledge Integration in the Faculty of Environment.  Waterloo Unlimited runs weeklong, multi-day and single day programs for high school students. The Program Coordinator reports to, and works closely with, the Director for Waterloo Unlimited on all aspects of the program, including recruiting high school student participants, supervising co-op students and Program Assistants, recruiting and training university student, faculty and staff volunteers, as well as coordinating all aspects of the on-campus programs such as application processing, scheduling and residence arrangements, and supervising the high school students during the entire duration of the program

Key Accountabilities:

1. 

Teacher Contact including but not limited to:

  • Inform educator contacts about WU programs
  • Maintain and grow educator contacts list
  • Track teacher champions
  • Coordinate and arrange high school visits/presentations
    • Facilitate presentation if needed
  • Make presentations to conferences for enrichment teachers as needed

 

2. 

Parent and Student Contact including but not limited to:

  • Assist Director with planning for and recruitment of student participants
  • Communicate with new students in the process of applying
  • Maintain contact with current Unlimited students regarding upcoming programs
  • Respond to phone and internet inquiries about Waterloo Unlimited
  • Coordinate application process including offers and declines
  • Coordinate pre-program information to participants


3.

Programming including but not limited to:

  • Assist Director to develop and implement program themes and recruit Faculty members for Unlimited program sessions
  • Assist the Director with on-campus support for all programs undertaken by Waterloo Unlimited
  • Coordinate booking and scheduling all aspects of on-campus programming
  • Participate, as appropriate, as an instructor, recreation director, social coordinator
  • Supervise the high school students during the entire duration of the program
  • Act as an overnight residence staff person during the on-campus programs, along with Director or delegate
  • Recruit university students as panelists and program volunteers
  • Co-ordinate all program information delivery to participants and on-campus faculty/staff participants
  • Arrange accommodation and food services needs in residence/hotels
  • Consult/draw on assistance from KI Program Coordinator as needed

 

4. 

Communications including but not limited to:

  • Maintain relationship with other outreach and enrichment programs
  • Manage social media accounts
  • Manage internal communications for Waterloo Unlimited
  • Coordinate the ongoing development and upgrading of websites for Waterloo Unlimited
  • Create, edit and proof-read communications materials such as newsletters, promotional materials, program applications, participant information packages and program binder content in consultation with KI Program Coordinator
  • Coordinate Waterloo Unlimited’s partnership programs

5. 

Information Management including but not limited to:

  • Organize and maintain Waterloo Unlimited information systems
    • Student participants, education contacts, campus contributors

 6.

Risk Management including but not limited to:

  • Implement University of Waterloo guidelines pertaining to risk management in consultation/as delegated by the Director

 

7.

Human Resources Management including but not limited to:

  • Interview, recommend and supervise co-op students for Waterloo Unlimited
  • Recruit, screen, train and monitor Program Assistants as well as all on-campus university student volunteers for each program

 

Position Requirements

Education:

Bachelor Degree

Experience:

Experience working with youth in an academic setting. Experience working with youth in a residential setting. Experience with event/program planning. Able to complete first aid training prior to commencement of first program. Able to provide satisfactory “Police Vulnerable Sector Check” prior to commencement of first program

Nature and Scope

Interpersonal Skills:

In carrying out his/her responsibilities, the Program Coordinator will work collaboratively with the other members of the Waterloo Unlimited team, including the Director for Waterloo Unlimited and staff/faculty in the Department of Knowledge Integration. Excellent communication, analytical, organizational and interpersonal skills.  Proven ability to work independently and as a team member and to manage concurrent projects and deadlines.  Demonstrated ability to communicate with a wide range of individuals.  Sound judgment, tact and diplomacy essential.                                                                                                                                                                            

 

Significant internal relationships include initiating and maintaining communication with students, staff and faculty across all six faculties at UW, as well as the Affiliated University Colleges; the office of the President and Provost, the Secretariat and the office of the Dean of Environment, the chair and faculty/staff of the Department of Knowledge Integration,  as well as contacts within the departments of Marketing and Undergraduate Recruitment, Marketing and Strategic Communication, the Libraries, Athletics and Recreation, Catering, New Media Services, Creative Services, and Bookings.                  Significant external relationships include ongoing communication with high school students, parents and teachers from across Canada; as well as contact and communication with local schools and school boards, potential guest speakers or workshop leaders from the community.   

 

Level of Responsibility:

The Program Coordinator reports to, and works closely with, the Director for Waterloo Unlimited on all aspects of the program, including developing and implementing new programs, recruiting high school student participants, supervising co-op students and Program Assistants, recruiting and training university student, faculty and staff volunteers, as well as coordinating all aspects of the on-campus programs such as application processing, scheduling and residence arrangements, and supervising the high school students during the entire duration of the program.

Decision-Making Authority:

Make recommendations regarding recruiting and programming in consultation with Director/Faculty Advisor (See Key Accountabilities for Details)

Physical and Sensory Demands:

Role requires a high level of attention to detail and ability to work in a multi-tasking manner. The role also requires some exertion of physical or sensory effort that could result in moderate fatigue, strain, or risk of injury. During the program the Program Coordinator fully participates in all aspects of the program across campus from early morning until late at night.

Working Environment:

In a typical term, most of the workday is spent in a private office within the Department for Knowledge Integration hallway, surrounded by other KI and Waterloo Unlimited staff offices.  The Program Coordinator’s office is the first contact for anyone coming to inquire about Waterloo Unlimited or to work with any of the Unlimited team members.  Enrichment events take place one or two times each term and vary in length from one to six days.  Programming for these events typically runs from 8:00 a.m. to 9:00 p.m., followed by overnight residence supervision.  The Program Coordinator is expected to be available for the duration of each enrichment program, and therefore significant evening, overnight, and weekend work is required during specific program times. As such, the expectation is that overtime hours would be accrued September through June and generally would be taken as time off in lieu of payment during the months of July and August.
