General Accountability

The Recruitment Assistant in the Centre for Contact Lens Research is accountable to the Administrator and Director of the Centre.

Nature and Scope

The Centre for Contact Lens Research (CCLR) is a semi-autonomous unit within the School of Optometry.  Activities of the CCLR encompass both basic and applied research, post graduate programmes and, from time to time, continuing education and symposia.  The CCLR currently employs 12 full and part-time research personnel, 9 full and part-time administrative personnel and several undergraduate students.  It also houses a number of graduate students.

The Recruitment Assistant will be the primary position responsible for the recruitment of study participants and for maintaining the participant filing system and database.  It will be her/his task to ensure that there are enough potential participants available to fulfill the enrolment requirements of all studies according to deadlines set by the study sponsors.  She/he will be expected to coordinate her/his activities with those of the Scheduling Assistant and the other administrative and research personnel to ensure the smooth functioning of the Centre and the maintenance of a high standard of participant care and research integrity.

The Recruitment Assistant will be expected to be knowledgeable of the protocols and procedures as well as the inclusion and exclusion criteria for each study.  She/he should also be creative in ways of attracting potential study participants.

Specific Accountabilities

  1. To assume responsibility for recruiting study participants for all CCLR studies using all available media and for following up as appropriate with prospective participants including scheduling the initial screening visit.
  2. To maintain CCLR study board and apprise other CCLR members including Investigators, Director and Administrator of the status of recruitment for each study on a regular basis.
  3. To check the required paperwork on each file when study visits are completed and ensure that the file is either passed along to the appropriate individuals for data entry, payment, photocopying, etc. or filed.
  4. To oversee proper completion of pre-screening questionnaires ensuring that all information is provided including prescriptions and to maintain the pre-screening database including entering data from prospective participants and updating existing records.
  5. To organise preparation of all new study files including the reproduction of forms either onsite or through Graphics.
  6. To maintain the participant and study filing systems including assisting other CCLR members in file retrieval and preparing files for archiving as necessary.
  7. To assist the Scheduling Assistant with managing incoming telephone calls and inquiries and scheduling appointments as needed and to be familiar with the tasks of the Scheduling Assistant in order to cover for vacations and absences.
  8. To open and lock clinic doors and ensure equipment is properly turned off as required.
  9. To perform other duties from time to time as requested by the Administrator, Director and other members of the CCLR.
