Manager, Graduate House

Reports to: GSA General Manager

General Accountability

The Graduate House Manager is responsible for the day-to-day operations of the Graduate House.  The Graduate House Manager shall employ sound business and management practices to promote, nurture and enhance the purposes and functions of the Graduate Student Association in the operations the Graduate House. The Graduate House Manager reports directly to and consults with the General Manager regarding all operations of the Graduate House.  All decisions shall be consistent with the By-Laws, Polices and Procedures of the Graduate Student Association and the University of Waterloo, and the Mission, Vision and Values of the GSA and the Graduate House.

Nature and Scope

The Graduate House is a not-for-profit business of the GSA at the University of Waterloo, housed in the Schweitzer Farmhouse on South Campus.  The facility affords Graduate Students and the greater UW Community a unique space for the enjoyment of social activities, GSA services and informal meeting space.  The Graduate House is an exclusive club supported by membership. 

            The Graduate House Manager is responsible for an operating budget of approximately $500,000.00 from revenues and membership fees.

            In representing the GSA, the Graduate House Manager will maintain a cordial association with all members of the UW campus community.

Specific Accountabilities

Management of daily food and beverage operations including product selection and purchasing, cost control, sales, catering, inventory control and hiring (with GSA GM) and supervision of full-time and part-time Graduate House staff.

Ensure compliance with the Graduate House Rules, Liquor License Act, the Alcohol and Gaming Commission of Ontario, the Region of Waterloo Public Health regulations, and all relevant fire, health and safety regulations as they pertain to the Graduate House and Staff.

Certified by Smart Serve Ontario (AGCO) and Region of Waterloo Public Health for safe food handling practices.

Manage general maintenance of food and beverage equipment, and general maintenance of the Graduate House and Patio.  Report deficiencies to the General Manager.

Ensure compliance with the Grad House Membership policy, the promotion and sale of Affiliate Graduate House memberships

Management of Graduate House marketing, advertising, promotion and coordination of special events.

Maintain a current record of all reservations for bookings in the Grad House, including Board, Council and GSA Committee meetings as directed by the General Manager.

Maintenance of financial records and daily logs of the Graduate House operations as coordinated with the General Manager.

Work Hours

The Graduate House manager is normally expected to work a 35 hours per week.  Flex time, as social or other requirements of importance to the GSA or Grad House operation necessitates the Grad House Manager’s presence after hours and/or on weekends.
