Primary Purpose

The Print Production Manager is accountable to the Operations Administrator, Retail Services. The mission of this position is to provide effective operational and staff leadership for the Digital Production centre and assigned Media.doc locations.  The incumbent supports the strategic development of New Media Services.

Key Accountabilities:

1.  Operations Management:

Overall managerial responsibilities for the day to day operations of New Media Services to secure efficiency, quality control, accuracy and timely completion of work to ensure customer satisfaction.  The incumbent has oversight and organization of the workflow to schedule equipment resources and staff resources in alignment with productivity and financial goals of the department.  Responsible for monitoring production schedules, inventory and equipment status to anticipate and address potential problems.


2.  Print System Information Management:

Manages the Avanti print module to control processes, workflow systems, and provides training for New Media Services staff, campus department customers, and external customers. Maintains an automated workflow system that interfaces with order entry, digital and print production.  Co-ordinates the digital training relating to standards and procedures.

Provides business information that supports the department’s strategic decision making and planning.

Conducts research, evaluation of trends in printing and new print technology hardware and software.    


3.  People Management:

Manages the New Media Services full time staff in Digital Production and    Duties include hiring, performance evaluation, coaching and disciplinary issues. The incumbent manages staff through effective training, duty assignment, supervision of staff, organization of schedules and work processes, management of procedures and standards, monitoring of performance and guiding staff efforts to meet Retail Services & WatCard goals in alignment with the University’s strategic goals.  Initiates hiring, supervision and training of part-time staff as required for peak business periods,


4.  Internal and External Relations:

Internally, develops and maintains excellent customer service with the University of Waterloo community.  Provides consultation and assistance to customers with their print orders, pricing, special projects and order entry information through Avanti system.

Maintains collaborative teamwork and effective communication with the Retail Services & WatCard management team.   External relations include vendors, other University Print Production managers or directors, and commercial printers.  Attends the annual CUPMAC University print conference and other print conferences/trade shows as required.


5.  Financial Control:

Manages production costs, manages allocates inventory supplies, and maintains accurate records to ensure the viability of the business in order to meet financial budgets.  Advises the Operations Administrator on equipment improvement needs to increase productivity, evaluation of equipment purchases or leases and conducts cost/benefit analyses.

Position Requirements


Post-secondary education or equivalent education and experience.


Management experience in an automated workflow print production environment, Demonstrated knowledge and experience in new print product categories or services.

The incumbent must have proven experience hiring, training, evaluating and managing staff.  

Demonstrated knowledge of the University of Waterloo Copyright Guidelines.  Superior customer service skills with an emphasis on detail, patience and accuracy.

Nature and Scope

Interpersonal Skills:

Internally, this position interacts regularly with staff representatives in Retail Services, Central Stores, Human Resources, Registrar’s Office, Creative Services, Finance and other University of Waterloo departments. Externally, this position interacts with vendors, maintenance and equipment repair technicians.

Level of Responsibility:

This position is one of several key leadership positions in Retail Services & WatCard.  The incumbent is responsible for providing the University of Waterloo with services including but not limited to pre-production, digital printing, digital archiving and all forms of binding and finishing in an efficient, cost-effective and progressive manner.

Decision-Making Authority:

This position has decision-making authority for the items outlined above.

Physical and Sensory Demands:

The work requires frequent opportunity to move about and physical effort required for lifting 50 pounds of paper (boxes).  

Working Environment:

Exposed to stress and pressure associated with management responsibilities. Involves moderate psychological risk resulting from unavoidable exposure to hazardous, disagreeable or uncomfortable environmental conditions. Attention to detail, accuracy, and verbal communication with customers, co-workers, and management. Multi-task environment requires excellent organizational skills for timely sequential jobs as received from customers or prioritizing jobs as needed for efficient job completion.
