General Accountability

Accountable to the manager of Central Stores for the daily operation of:

Labelling bulk mailings and newsletters,  folding, inserting and postal code sorting of bulk mailings for on-campus departments as well as dealing with Univ. of Guelph,  WLU, Waterloo Maple and some outside Companies.

Nature and Scope

This position is responsible for the University central bulk mail processing plant which includes folding, inserting, labelling and postal code sorting.

Statistical Data

Pieces of mail handled annually - 4,000,000

Number of envelopes through Kern Multimailer - 1,000,000

Number of address labels affixed annually - 250,000

As a direct result of the bulk mailing service, University postage costs are reduced as follows:

200,000 pieces  @ 150 grams each

          first class cost    $1.50 ea = $300,000.00

          bulk third cost     $0.45 ea = $ 90,000.00

                                                  Difference of  $210,000.00

40,000 pieces @ 100 grams each

          first class cost    $0.92 ea = $ 36,800.00

          Publication cost  $0.30 ea = $ 12,000.00

260,000 pieces @ 110 grams each

Specific Accountabilities

1. Obtain electronic address files and apply to over 250,000 pieces of mail annually with an automated Buskro printing machine.

2. Responsible for all LCP and second class mail sorting and bundling according to Canada Post's very strict National Distribution guide.

3. Setting up and operating a high speed Kern Multimailer & Kas Polybager. This includes programming the computerized controller.

4. This position requires a great deal of interaction with Canada Post authorities.

5. This position requires a great deal of interaction with department heads and administrative assistants on campus.  This person must be able to communicate effectively during the planning and scheduling stages and co-ordinate all the different jobs.

7. The position must continually train part time help, as major mailings require anywhere from one to two staff to meet deadlines for student marks, T-4s, student statements, payroll & F.S.O.

8.  Must be mechanically inclined (repair machines when they break down)

9.  Must be able to make decissions on the best and cheapest way to send out the mail via Canada Post, Courier or regular mail.

10. Recognized campus authority on Bulk Mail Delivery.
